Can I forward messages from a mailbox to another address?

Forwarding can route incoming messages to another address, but the destination and the way replies are handled should be clear before you rely on it for ongoing communication.

Mail

Choose a destination that you control

Confirm the destination address is correct and accessible to the person or team that needs the messages. If the destination is outside your organization, consider what customer or personal information the forwarded mail may contain and whether that sharing is appropriate. Do not use an address that can no longer be monitored.

Decide whether the original mailbox should also retain the message or whether forwarding is the only route. The answer affects where staff search for history and how they know a message arrived. If several destinations are involved, keep the routing simple and documented so that a future change does not leave messages going to an unattended address.

Test receipt and reply behavior

Send a test message from an address you control and confirm that it reaches the intended destination. Check spam or quarantine folders if it does not appear, and verify the forwarding address for typing errors. If the message includes attachments, make sure the forwarded copy contains what the recipient needs.

Reply to the test and inspect the sender identity and reply-to address. Forwarding may deliver a message to another inbox without changing the address that recipients see in a response. If the destination is meant to become the public contact address, configure and test that identity separately. Review the rule periodically when staff or responsibilities change.
